Company Introduction
Better Networking Hub Ltd (referred to as “Better Networking, “we”, “us”, or “our”) is a private limited company based in the UK. The core service is running mixed online and face-to-face business networking ‘Hubs,’ events, and training.

Governing Law and Jurisdiction:
These terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom. In the event of any dispute arising from or in connection with these terms and conditions, both Better Networking Hub and its members agree to submit to the exclusive jurisdiction of the courts of the United Kingdom.

Purpose of the Terms and Conditions:
This document outlines the legal terms under which Better Networking Hub provides its services. These terms govern the relationship between Better Networking Hub and its members.

Definition of Key Terms:
“Hub” relates to networking groups and meetings operated by Better Networking Hub, its representatives, or Franchisees. “Member” relates to members who join a Better Networking Hub, “Hub Joining Fee” relates to a one-off payment that is only payable in the first year of joining a Better Networking Hub. This includes membership set up and a training workshop. “Annual Membership Fee” relates to the annual membership fee that new members pay upon joining. “Renewal Fee” relates to the annual renewal fee that is payable by members who renew their annual membership. “Online Networking” relates to any networking Hub meetings and events held online via a video conferencing platform. “Face-to-Face Networking” relates to any Hub meetings or events held at venues or locations across the UK. “Training” relates to any training provided by Better Networking Hub, its representatives, or franchisees. “Regional Events” relates to ad hoc events that may be operated by Better Networking Hub, its representatives, or Franchisees, that is an additional service, which falls outside the scope of the “Annual Membership.” “National Events” relates to ad hoc events that may be operated by Better Networking Hub, its representatives, or Franchisees, that is an additional service, which falls outside the scope of the “Annual Membership.” “Visitor” relates to non-members attending a Hub meeting to experience a Hub meeting prior to joining and members who are visiting an alternate Hub meeting that is not their designated Hub.

Description of Services:
Each networking Hub, whether online or face-to-face, will usually hold fortnightly meetings. The nature of the Better Networking Hubs is to create an environment where members can connect; forge professional relationships; build business communities; create business opportunities and facilitate to exchange of referrals. Only one member per business sector will be permitted to join each Hub. There may be the option to attend additional ‘Regional’ or ‘National’ events that falls outside of the scope of membership that does not provide business exclusivity and may incur additional fees.

Accessibility and Inclusion:
Better Networking Hub is committed to fostering an inclusive and accessible environment for all members, regardless of background, ability, or circumstance. We strive to ensure that our meetings, events, online platforms, training, and all other activities are accessible to every member, facilitating full and equal participation.

Accommodations and Adjustments:
We actively work to identify and remove barriers to accessibility, whether physical, digital, or social, with all our services. Members who require specific accommodations to participate fully in the Better Networking Hub activities are encouraged to inform us. We will make reasonable efforts to accommodate these needs.

Diversity and Respect:
Better Networking Hub values and respects diversity in all its forms. We believe that a diverse membership enriches the networking experience for everyone, and we are committed to creating an environment where all members feel valued and included. Discrimination, harassment, or exclusion based on characteristics such as race, gender, age, disability, sexual orientation, or for any other reason, will not be tolerated.

Membership Of A Hub Entails:
Membership of any online or face-to-face Hub entails: Attending fortnightly meetings; actively taking part in the Hub meetings; having regular one-to-one meetings with other members in between the fortnightly Hub meetings; aiming to introduce other members to third party connections, creating opportunities for other members, making as many referrals as possible; educating other members about how they can assist with introductions to third parties with a view to gaining referrals; attending the online or face-to-face training sessions provided when joining or renewing.

Membership Eligibility and Exclusivity:
Better Networking Hub operates on an exclusive business sector representation basis. This means that only one member per business sector is admitted to each Hub. The purpose of this exclusivity is to foster a diverse and non-competitive environment, allowing members to network and collaborate effectively within their unique business areas.

Member Attendance at Alternate Hubs:
Members of Better Networking Hub are permitted to attend occasional meetings at Hubs other than their primary assigned one, subject to the following conditions:
• Business sector and space availability at the desired Hub meeting.
• Prior approval from Better Networking Hub, which retains full discretion in granting or denying such requests.
• Approval is sought from Better Networking Hub prior to booking.
• Members paying an additional ‘visitor fee’ in advance of attending an alternate Hub meeting.

Procedure for Attending Alternative Hubs:
Members wishing to attend a meeting at an alternative Hub should request permission from Better Networking Hub in advance. This can typically be done through the designated communication channel or contact person for each Hub.
Members will be notified of the approval status of their request and, upon approval, will be provided with relevant details for the meeting attendance, including booking and payment instructions for the applicable fees.

Opportunity for Cross-Hub Attendance:
At its discretion, Better Networking Hub may offer its members the opportunity to attend regional and national Hub events, other than their primary assigned Hub meetings. This provision is aimed at enhancing networking possibilities and member experience. Such events fall outside the scope of the normal membership and will be charged separately. Business sector exclusivity will not be granted. There is no obligation for members to attend these events and as such booking and attending will be optional.

Procedure for Attending Regional And National Events:
Members wishing to attend any regional or national events will be required to book and pay Better Networking Hub in advance. This can typically be done through the designated communication channel or online.
Membership Application and Renewal:

Membership Application Process:
Prospective members are required to apply for membership. Acceptance into a Hub is contingent upon meeting the eligibility criteria and the availability of the business sector representation within the specific Hub.
Renewal Discretion: Membership renewal is not an automatic right. Existing members wishing to renew their membership must re-apply fourteen days before their membership term expires. Better Networking Hub reserves the full right and discretion to approve or deny any membership or renewal application. This decision will be based on several factors, including but not limited to, the member’s contributions to the Hub, attendance levels, adherence to professional standards, and the ongoing requirement for sector exclusivity.
Right to Refuse Membership: Better Networking Hub retains the right to refuse membership to any applicant or renewal for any existing member. This decision may be based on the need to maintain sector exclusivity, adherence to the values and standards of the Hub, or any other reason deemed appropriate by Better Networking Hub. Refusal will be communicated respectfully and professionally.

Obligation to Disclose Changes:
Members are obliged to inform Better Networking Hub of any significant changes to their business sector or scope that might affect their exclusivity status within the Hub. Failure to do so may result in reconsideration of their membership status and termination may become necessary.

Fees and Payment Options:

Joining Fee:
A one-off Joining Fee of £157 is required for new members. This fee covers the costs associated with membership setup and includes a group training workshop that will usually last no longer than half a day. This fee is always non-refundable and is never included in any partial or full refund that may be offered to members.
The training workshop is an integral part of the membership initiation process and may be conducted either online or face-to-face. Please note, for face-to-face training workshops, geographical restrictions may apply. The dates, frequency, and formats of these workshops are determined solely by Better Networking Hub.

Annual Membership and Renewal Fees:
The Annual Membership Fee for a new member and the Renewal Fee for continuous membership is set at £397, payable in a single instalment. This fee covers the full year of membership from the date of application or renewal due date.
As an alternative, new members and renewing members have the option to pay the Annual Membership Fee in three monthly instalments at a higher rate. Each instalment is £150, totalling £450 for the year. For new members, the first instalment of the Annual Membership Fee (£150) is due immediately following the payment of the Joining Fee, with the subsequent instalments due monthly thereafter (£300 upon joining followed by two monthly payments of £150). For renewing members, the first instalment is due 7 days before the previous years’ membership is set to expire, with subsequent payments due monthly thereafter.
Should renewing members wish to take part in one of the networking training sessions, there will be an additional fee of £127 payable upon booking. Arrangements for this can be made directly with Better Networking Hub upon request.

Changes in Membership Fees

Annual Fee Adjustments:
Better Networking Hub reserves the right to review and adjust membership fees on an annual basis. Typically, these adjustments will be incremental, reflecting factors such as inflation, operational costs, and enhancements to member services.

Discretionary Fee Changes:
In addition to annual adjustments, Better Networking Hub may, at its discretion, increase membership fees at other times as deemed necessary. These changes may be due to significant shifts in market conditions, regulatory changes, or upgrades to the services offered to members.

Notification of Fee Changes:
Members will be notified of any changes in membership fees well in advance. This notification will usually be communicated via email, and will include details of the new fee structure, the reasons for the changes, and the effective date of the new fees.

Transparency and Fairness:
In implementing any fee changes, Better Networking Hub is committed to maintaining transparency and fairness. We understand the importance of these changes and strive to ensure that they reflect the value and quality of the networking experience we provide.
Commencement of Annual Membership and Renewal Terms:

Standard Membership Term Commencement:
For established Hubs, the annual membership and subsequent renewal terms for members will commence immediately upon payment of the membership fees.

Special Provision for New Hubs:
In instances where a new Hub is in the process of being formed, the following special terms apply:
Members who join a forming or planned Hub are required to pay their membership fees as per the standard procedure. However, the commencement of their 12-month membership term will be deferred until the Hub reaches a minimum of ten members.
This deferment is designed to ensure that members receive the full value of a complete and active Hub from the start of their membership term.

Notification and Confirmation:
Members joining a forming Hub will be notified about the status of their Hub and will receive confirmation once the Hub has reached the required number of members, thus triggering the start of their 12-month membership term. Better Networking Hub is committed to actively supporting the formation of new Hubs and will endeavour to reach the requisite membership count as swiftly as possible.

Contingency for New Hub Formation

Efforts to Form New Hubs:
Better Networking Hub, along with its representatives and franchisees, will make diligent efforts to ensure that each new Hub reaches the required minimum of 10 members within a 10-month timeframe.

Transfer to Another Hub:
In the event that a new Hub does not achieve the requisite membership count within ten months, the following steps may be taken:
Members of the forming Hub may be offered the option to continue at their original Hub or transfer to another existing Hub, either face-to-face or online, subject to availability.
This transfer aims to provide members with an alternative opportunity to engage in networking activities and benefit from their membership.
Partial Refund Policy:
If transferring to another Hub is not feasible due to availability or other constraints, Better Networking Hub may offer a partial refund of the membership fee. The amount and terms of this partial refund will be determined based on the duration of membership and the extent of services already provided.

Member Notification:
Members affected by such circumstances will be notified in writing about their options, including details of alternative Hubs or the terms of any partial refund offer.
Our priority is to ensure that all members have access to a vibrant and effective networking environment, even if their initial Hub has not formed as anticipated.

Membership Fee Promotional Offers
From time to time, Better Networking Hub may offer promotional deals or discounts on membership fees. These promotions may include reduced fees or other special terms for a limited period.

Applicability of Standard Terms:
Irrespective of any promotions or special pricing offered, all other terms and conditions of Better Networking Hub membership remain in full effect. This includes, but is not limited to, membership eligibility, member obligations and conduct, meeting attendance requirements, and payment of other applicable fees.
The provision of any service or membership under a promotional offer will still be governed by these terms and conditions, ensuring that the quality, standards, and expectations of the Hub meetings are consistently maintained.

No-Charge Promotions:
In instances where a discretionary promotion includes a membership or service at no charge (e.g., a complimentary membership period), such offerings are also subject to the same terms and conditions as standard, fee-based memberships. This ensures that all members, regardless of the financial terms of their membership, are accorded the same rights and responsibilities.

Promotion Acceptance:
Acceptance of a promotional offer constitutes agreement to these terms and conditions. Members benefiting from such offers are expected to adhere to all rules and regulations of Better Networking Hub as outlined herein.
Promotion Duration and Changes:
Promotional offers are typically available for a limited time and may be subject to specific conditions as outlined at the time of the offer.
Better Networking Hub reserves the right to modify, extend, or terminate any promotional offer at its discretion and will communicate any such changes to affected members, as necessary.

Training Workshop Fees Under Promotional Offers
While the standard one-off Joining Fee for Better Networking Hub typically includes a group training workshop, it is important to note that this may not automatically apply in the case of promotional offers. In instances where membership fees are reduced or waived as part of a promotional offer, the inclusion of the training workshop is not guaranteed.

Additional Fee for Training Workshops:
Better Networking Hub reserves the right to charge an additional fee for training workshops for members who join under a promotional offer. This additional fee will be applicable only if such members choose to attend the training workshop.

Booking and Payment for Training Workshops:
Members interested in attending a training workshop, who have joined under a promotional offer, are required to book their place in advance. Details of the booking process and the payment of any additional fee for the training workshop will be provided upon enquiry or at the time of membership sign-up under the promotional offer.

Members Meeting Fees For Face-to-Face Hub Meetings:

Fee Structure:
Members are required to pay meeting fees for all face-to-face Hub meetings. These fees are charged four-weekly and must be paid in advance via direct debit. Alternatively, members can pay the meeting fees in advance for the year ahead upon joining or renewing. Meeting fees will usually include breakfast provided by venues.
The obligation to pay meeting fees is ongoing and is not contingent upon attendance. Members are liable for meeting fees whether or not they have breakfast, or attend the scheduled face-to-face Hub meetings, though they are welcome to occasionally send someone else to a represent them, in their absence.

Variability of Fees:
Meeting fees may vary depending on the specific Hub a member is associated with. Different Hubs may incur different costs and thus charge different meeting fees. The specific amount of the meeting fee for each Hub will be communicated to members prior to joining. Members will be informed of the exact fee amount either through the Better Networking Hub website, during the membership application process, or via email.

Changes to Meeting Fees:
Better Networking Hub reserves the right to alter the meeting fees. Any changes to the fee structure will be communicated to members in advance. In the event of a fee change, members will be notified as soon as possible, and the new fees will apply from the next billing cycle following the notification.

Members Meeting Fees For Online Hub Meetings:
Members are required to pay four-weekly meeting fees for all online Hub meetings. These fees are charged four-weekly and must be paid in advance via direct debit. Alternatively, members have the option to pay in advance for the year, upon joining or renewing their membership.
The obligation to pay meeting fees is ongoing and is not contingent upon attendance. Members are liable for meeting fees whether or not they attend the scheduled online Hub meetings, though they are welcome to occasionally have someone else represent them at a missed meeting.
Members Meeting Fees for online Hub meetings are set at £5.00. This reduction of fees applies solely to meetings conducted through virtual online platforms only.

Visitor Attendance At Hub Meetings:
Better Networking Hub encourages the attendance of visitors at our Hub meetings, offering them the opportunity to experience the network environment with the prospect of joining. An invitation for visitors to join a Better Networking Hub is not an automatic right and is the sole discretion of Better Networking Hub, its representatives, or franchisees.

Fee Structure for Visitors:
For face-to-face meetings, visitors will be charged a fee of £20 per meeting.
For online meetings, the fee will be £10 per meeting.
These fees are to be paid in advance and are non-refundable, regardless of whether the visitor attends or decides to join as a member.

Fee Structure For Members Attendance at Alternative Hub Meetings:
For face-to-face meetings, members visiting will be charged a fee of £20 per meeting.
For online meetings, members will be charged £10 per meeting.
These fees must be paid in advance and are non-refundable, regardless of whether the member attends or not.

Payment Terms:
All fees are quoted in UK Pounds Sterling and are exclusive of any applicable taxes.
Payments must be made in accordance with the terms specified herein. Failure to adhere to these payment terms may result in suspension or termination of membership with no refund offered.

Third-Party Training Delivery and Data Sharing

Training Services Provided by Third Party:
Some training sessions for Better Networking Hub may be delivered by a third party, specifically Tracy Heatley Limited (T/as Be Better With Tracy Heatley), which is also owned and directed by Tracy Heatley, the sole director of Better Networking Hub.

Purpose of Third-Party Involvement:
This arrangement is in place to provide specialised training services that enhance the value and effectiveness of the networking experience for our members.

Data Sharing with Third Party:
In facilitating these training sessions, it may be necessary to share certain member data with Tracy Heatley Limited (t/as Be Better With Tracy Heatley). This data sharing is solely for the purpose of conducting the training and will be carried out in compliance with GDPR and UK data protection laws. Only relevant information necessary for the delivery of training services will be shared.

Member Consent:
By agreeing to these terms and conditions, members consent to the sharing of their data with Tracy Heatley Limited for the purposes outlined above. Members retain the right to withdraw their consent for data sharing at any time. To do so, members should notify Better Networking Hub in writing.

Assurance of Data Protection:
Better Networking Hub is committed to ensuring the protection and confidentiality of member data. Both Better Networking Hub and Tracy Heatley Limited (t/as Be Better With Tracy Heatley) adhere to strict data protection policies to safeguard member information.

Sharing of Member Data with Visitors

Purpose of Data Sharing:
During networking meetings, Better Networking Hub may share certain member information with visitors attending the Hub. This is intended to facilitate networking and business opportunities among members and visitors.

Type of Data Shared:
The shared data will be limited to contact information or details extracted from members’ online profiles, which may include business contact details, professional background, and areas of expertise. No sensitive personal information will be shared without explicit member consent.

Scope of Data Sharing:
Data sharing will be restricted to the members present at the specific Hub meeting the visitor is attending, ensuring relevance and privacy. Visitors will be informed of the confidential nature of the shared information and will be required to respect the privacy and data protection rights of our members.

Member Consent and Control:
By agreeing to these terms and conditions, members consent to the sharing of their profile data in the context of Hub meetings with visitors. Members have the right to control the information included in their online profile and can update or limit the information they wish to share.

Protection of Data:
Better Networking Hub is committed to adhering to GDPR and UK data protection laws in all data sharing activities. We take reasonable steps to ensure the security and proper use of shared data.

Scope of Application

This section delineates the scope and applicability of the terms and conditions set forth herein. It is intended to clarify the extent to which these terms govern the relationship and interactions between Better Networking Hub, its members, and other related parties.

Binding Agreement:
By becoming a member, participating in any Hub meeting, or engaging with any services provided by Better Networking Hub, individuals or entities agree to be bound by these terms and conditions, as well as any other policies or regulations established by Better Networking Hub.

Applicability:
These terms and conditions apply to all aspects of membership within Better Networking Hub, encompassing but not limited to:
• Membership application, renewal, and termination processes.
• Payment of fees, including joining fees, annual membership fees, meeting fees, and charges for additional services or events.
• Participation in both face-to-face and online Hub meetings, as well as attendance at alternative Hub meetings.
• Use of any facilities, platforms, or resources provided by Better Networking Hub.
• Interaction, networking, and conduct within the Hub environment.

Purpose of the Terms:
The primary purpose of these terms and conditions is to ensure a transparent, respectful, and productive environment for all members, fostering effective networking and business growth opportunities.

Access to Facilities and Resources:
Better Networking Hub provides members with access to various facilities and resources, which may include physical venues for face-to-face meetings, online platforms for virtual meetings, and other resources beneficial for networking and business growth. Members are expected to utilise these facilities and resources responsibly and in a manner that aligns with the goals of each Hub and respects the rights of all other members.

Physical Venue Usage:
When using physical venues for networking meetings, members must adhere to the specific rules and guidelines of each venue. This includes but is not limited to respect for property, respect of member, respecting the intellectual property of other members, adherence to venue-specific regulations, and observance of local health and safety standards.
Any damages or disturbances caused by a member may result in the member being held liable for repair or replacement costs and could impact their membership standing with Better Networking Hub. All activities conducted within the venue must comply with relevant laws and regulations. Illegal activities or behaviour will not be tolerated and will be addressed in accordance with Better Networking Hub’s policies and legal obligations.
It is the responsibility of each member to familiarise themselves with and adhere to the policies of the venue, including but not limited to, health and safety regulations, noise levels, and any restrictions on food, drink, or activities.

Venue Alternation and Selection:
Better Networking Hub acknowledges that there may be occasions when it is necessary to use alternative venues for Hub meetings. We reserve the right to select and change the venues for the Hub meetings as circumstances require. In making such changes, Better Networking Hub will endeavour, wherever possible, to choose alternative venues within a close geographical proximity to the original location. Our aim is to minimise inconvenience to our members and ensure continuity in the networking experience.

Online Platform Conduct:
For online networking meetings, members are required to engage in a professional manner. This includes maintaining decorum in virtual interactions, respecting the privacy and intellectual property of other members, and adhering to any specific rules set forth for online conduct.

Resource Utilisation:
Resources provided by Better Networking Hub, including but not limited to meeting materials, contact lists, and networking tools, are intended solely for the purpose of enhancing business networking opportunities and should not be misused.
Unauthorised use of these resources, including distribution of proprietary materials, transferring data to other networking organisations, or use for personal gain outside the scope of networking activities, is strictly prohibited.

Care and Consideration:
Members are expected to demonstrate care and consideration in the use of all facilities and resources. This includes leaving venues in good condition, respecting equipment and materials provided, contributing to a positive and collaborative networking environment, and being respectful at all times.

Meeting Attendance Policy
Consistent attendance is encouraged and considered a key aspect of active membership. This policy ensures a dynamic and productive networking environment, fostering reliability and consideration among members.
Members are required to attend at least 85% of their Hub meetings during their annual membership term. Additionally, members must confirm their attendance for all scheduled Better Networking Hub meetings in a timely manner. This confirmation is essential for effective meeting management and resource allocation. Consistent failure to sustain this level of attendance may result in action being taken to end the membership and could impact on membership renewal opportunities.
When possible, members are required to find a substitute person to attend in place of them. Details of which must be sent to Better Networking Hub within a reasonable timeframe for the necessary arrangements to be made and make the substitutes feel welcome.
In the event a member is unable to attend a scheduled meeting, we request that they notify Better Networking Hub of their non-attendance as soon as possible. This allows us to make necessary adjustments and notify the relevant people.

Networking and Referral Expectations:
Better Networking Hub recognises the importance of referrals in business networking but also understands that the generation of referrals should be organic and genuine. We encourage our members to share referrals, but we do not enforce a quota or pressure members to provide referrals at every meeting.

Support for Referral Challenges:
Better Networking Hub acknowledges that there may be times when members find it challenging either to give or receive referrals. This can be due to various reasons including market dynamics, the nature of the business, or personal circumstances. If members are experiencing difficulties in this aspect of networking, they are strongly encouraged to reach out for support and guidance. The appropriate contact points for this assistance are Better Networking Hub representatives or, where applicable, the local franchisee.

Communication and Support Process:
Members seeking assistance should communicate their concerns or challenges related to referrals through the designated channels – this could be via email, a direct contact person, or through specific mechanisms established by the Hub or franchisee. Upon receiving such communication, Better Networking Hub, its representative, or the respective franchisee will endeavour to provide support, guidance, and possibly suggest training, to help the member enhance their referral generation or reception.

Conflict of Interest Policy

Purpose of the Policy:
The Conflict of Interest Policy is established to ensure that members of Better Networking Hub engage in activities that align with the best interests of the Hub and its members. This policy aims to avoid conflicts between personal interests and those of the Hub, particularly in areas where business dealings are commonplace.

Restrictions on Competing Networking Activities:
Members of Better Networking Hub are prohibited from setting up or managing another networking group that directly competes with Better Networking Hub within the same town or immediate geographic area. Members are also restricted from inviting or encouraging other members or visitors of Better Networking Hub to attend or join competing networking groups.

Disclosure of Potential Conflicts:
Members are required to disclose any involvement they have with other networking groups or activities that may present a potential conflict of interest with their participation in Better Networking Hub. Upon such disclosure, Better Networking Hub will review the situation and provide guidance on how to proceed in a way that mitigates conflict.

Respecting the Hub’s Interests:
Members should always act in a manner that respects the interests and integrity of Better Networking Hub. This includes avoiding any actions that could be detrimental to the cohesion and effectiveness of the networking group.

Consequences of Breaching the Policy:
Violation of this Conflict of Interest Policy may result in action being taken by Better Networking Hub, including termination of membership, depending on the severity of the breach.

Queries and Clarifications:
Members with questions or requiring clarification on what constitutes a conflict of interest are encouraged to contact Better Networking Hub’s designated representative for guidance.

Intellectual Property and Confidentiality

Protection of Intellectual Property:
Better Networking Hub respects and upholds the intellectual property rights of all members. Any content, ideas, strategies, or intellectual property shared within the network by members remain the exclusive property of their respective owners.

Confidentiality Obligations:
A Better Networking Hub membership involves the exchange and sharing of business-related information among members. To protect the interests and privacy of all members, Better Networking Hub incorporates a binding confidentiality agreement as part of these terms and conditions. Members are expected to maintain the confidentiality of any sensitive or proprietary information shared within the Hub.
Confidential information includes, but is not limited to, business strategies, client details, trade secrets, operational practices, and any other sensitive information disclosed during networking activities or meetings. Members agree not to disclose, disseminate, or use such information for any purpose other than for legitimate networking and business collaboration within the Hub.
Members agree to uphold the confidentiality of information shared within the Hub, maintaining discretion and integrity. These confidentiality obligations apply throughout the duration of membership and continue even after membership ceases, to protect the long-term interests of all network participants. Serious breaches may also be subject to legal action to protect the rights and interests of affected parties.

Use of Better Networking Hub IP:

Members have a responsibility to report any suspected infringement of intellectual property rights or breaches of confidentiality that they become aware of within the Hub directly to Better Networking Hub. Breaches of intellectual property rights or confidentiality can have legal consequences. Better Networking Hub reserves the right to take appropriate legal action to protect its own intellectual property and to support members in protecting theirs. Members seeking advice on issues related to intellectual property and confidentiality are encouraged to contact the relevant representative within Better Networking Hub.

Non-Solicitation Clause:

Commitment to Professional Integrity:
Better Networking Hub is dedicated to fostering a professional environment based on trust and mutual respect. As part of this commitment, specific non-solicitation and employment guidelines are set forth to protect the interests of all parties involved.
Non-Solicitation of Clients and Employees:
Members of Better Networking Hub agree not to solicit, directly or indirectly, the clients or employees of other members met through their Hub activities. This includes refraining from actions that could be construed as poaching or enticing away clients or employees from fellow members. This non-solicitation commitment is essential to maintain the integrity of the network and the trust between members.

Restriction on Employing Hub Employees, Representatives or Franchisees:
Members are also prohibited from employing, or offering employment to, any employees, representatives, or franchisees of Better Networking Hub during their membership and for a period of 12 months after the cessation of their membership. This restriction aims to safeguard the operational stability of Better Networking Hub and franchises.

Consequences of Breach:
Any breach of this non-solicitation and employment clause may result in immediate review of the members standing within Better Networking Hub and could lead to sanctions or termination of membership. Better Networking Hub reserves the right to take appropriate action to address any infringement of this clause.

Photography, Recording, and Media Use
In compliance with the General Data Protection Regulation (GDPR), Better Networking Hub will ensure that the collection and use of this media respects the privacy rights of individuals. Any member who wishes not to be photographed or recorded, or who seeks to withdraw their consent retrospectively, can notify us, and we will make reasonable efforts to accommodate such requests.

Scope of Photography and Recording:
Better Networking Hub may photograph and record activities during both online and offline Hub meetings, events, and training sessions. These activities may be captured in various formats, including but not limited to photographs, video, and audio recordings.

Purpose of Media Capture:
The captured media may be used by Better Networking Hub for various purposes, including promotional material, educational content, and social media postings. This media is an important part of showcasing our activities and sharing the experience of our Hub with a wider audience.

Sharing and Member Use:
Recorded media may also be shared with members via third party channels such as WhatsApp, and members are permitted to use this media on their own social media platforms for networking and promotional purposes related to their business activities in the Hub.

Consent and Release:
By joining Better Networking Hub, members give their consent to be photographed or recorded during these activities and for the use of such media by Better Networking Hub and other members as described above. This consent serves as a release, allowing Better Networking Hub to use the images, recordings, or other media without further approval from the individuals captured or recorded.

Withdrawing Consent:
Members of Better Networking Hub have the right to withdraw their consent for the use of their image or recordings at any time.

Process for Withdrawal of Consent:
To withdraw consent, members should submit a formal notification to Better Networking Hub, specifying their request and any specific media or recordings they wish to be excluded from.
Upon receipt of this notification, Better Networking Hub will take reasonable steps to comply with the member’s request.

Timeframe and Implications:
Members are advised that the withdrawal of consent is not retroactive and does not apply to material already published or used. However, Better Networking Hub will endeavour to prevent the future use of the specified media wherever practicable.
Members should allow a reasonable period for Better Networking Hub to process their request and implement the necessary changes.

Continued Participation:
It is important for members to understand that withdrawing consent for media use may impact their experience at Better Networking Hub networking meetings, events, and training, particularly where photography and recording are integral to the activity.

Limitation of Liability for Member-Created Media

Member-to-Member Photography and Recordings:
Better Networking Hub acknowledges that members may independently photograph or record portions of events, meetings, or activities, using their own devices.
These actions are considered outside the scope of Better Networking Hub’s official media and are the sole responsibility of the individual members involved.

Disclaimer of Liability:
Better Networking Hub shall not be held responsible for any photographs, videos, audio recordings, or any other media captured and used by members independent of the Hub’s official activities. Members who capture and use such media are advised to seek consent from the individuals involved and are responsible for ensuring their actions comply with UK law, including privacy and data protection regulations.

Mutual Respect and Privacy:
While Better Networking Hub promotes an open and collaborative environment, we encourage all members to respect the privacy and preferences of others concerning personal photography and recording. Members are responsible for addressing any concerns or disputes that arise from media they have independently created.

Notification to Better Networking Hub:
If a member has concerns about another member’s use of personally captured media, they are encouraged to notify Better Networking Hub, although the primary responsibility for resolution lies with the members involved.

Public Liability and Insurance

Members Responsibility for Liability:
Members of Better Networking Hub acknowledge that they participate in all Hub activities, whether online or face-to-face, at their own risk. Better Networking Hub is not responsible for any public liability or other claims that may arise from the actions or omissions of members during Hub meetings or related activities.

Recommendation for Public Liability Insurance:
We strongly recommend that all members obtain their own public liability insurance coverage to protect themselves against any claims of damage or injury that might occur during their participation in networking activities. Having appropriate insurance coverage is a prudent step for business professionals and provides an added layer of financial protection.

Limitation of Responsibility:
Better Networking Hub, its representatives, or franchisees will not be held liable for incidents or accidents that occur during networking events or as a result of business conducted between members. Members are responsible for their own actions and the safety of their property and should ensure that they are adequately insured against potential liabilities.

Collaborative Referral Culture:
Better Networking Hub strives to cultivate a culture where referrals are based on trust and mutual benefit. Members are encouraged to actively engage with one another to understand each business’s unique value proposition, fostering more meaningful and effective referrals. Networking within a Hub should be seen as a collaborative effort, where success is built on the quality of relationships and connections, rather than the quantity of referrals exchanged.

Online Platform Usage

Online Profile Creation & Information Usage:
Better Networking Hub will offer an online member’s profile as a part of its service offerings. This profile is designed to display your business and contact information, and to help you promote your product/service offerings. These online profiles will be created by Better Networking Hub. The profiles will be populated using information gathered from members business websites, social media channels, and direct inputs from the members themselves. Once the online profile has been updated, members will be notified, by email. It is members responsibility to check that all information is correct. Any changes that are required must be emailed to Better Networking Hub within 7 days. If no communication is received within 7 days it will be assumed that all information contained within the online profiles are acceptable.

Profile Creation and Information Usage:
Upon the launch of the online platform, member profiles will be created by Better Networking Hub. These profiles will be populated using information gathered from members business websites, social media channels, and direct inputs from the members themselves. Members may review and request amendments to their profiles to ensure accuracy and satisfaction with the content displayed.

Acceptable Use Policy:
Members are expected to use the online platform responsibly and in a manner that aligns with professional standards and the ethos of Better Networking Hub. The platform should be used primarily for purposes related to networking, business development, and event participation. Any misuse of the platform, including but not limited to, inappropriate behaviour, harassment, misuse of member information, or any other actions that contravene the spirit of professional networking, will not be tolerated.

Access and Security:
Secure login credentials may be provided to each member for accessing an online platform operated by Better Networking Hub that members need access to. Members are responsible for maintaining the confidentiality of their login information and for all activities that occur under their account.
Better Networking Hub takes the privacy and security of member data seriously and will implement appropriate measures to protect it. Members are also expected to adhere to good cybersecurity practices while using the platform.

Changes and Updates to the Platform:
Better Networking Hub reserves the right to make changes or updates to its online platform(s), including any features and functionalities. Members will be informed of significant updates changes that may affect their use of any online platform(s) that Better Networking Hub has upon commencement of membership or is at introduced during members membership term.

Expansion to Mobile Application:
In addition to the online platform, Better Networking Hub plans to introduce a mobile application to enhance accessibility and convenience for members. This app is expected to offer similar functionalities as the online platform and may include additional features tailored for mobile use.
The same terms regarding acceptable use, profile creation, data security, and conduct that apply to the online platform will also extend to the mobile application.
Members will be informed about the availability of the app and any specific instructions or terms related to its usage upon its launch.

Terms of Use:
Members will be subject to separate terms of use for the app as with the online platform, including acceptable use policies, data security, and member conduct. Detailed information about the app’s functionalities, access, and usage guidelines will be provided at the time of its launch.

Data and Profile Management:
Member profiles on the mobile app will be synchronised with their online platform profiles. The same data sources and review processes will apply for profile information on the app. Members are responsible for notifying Better Networking Hub of any changes to their details and information displayed.

Cancellation of Face-to-Face Meetings

Provision for Cancellation or Change:
Better Networking Hub acknowledges that there may be occasions when face-to-face meetings need to be cancelled or altered due to unforeseen circumstances, such as issues with the venue, Bank Holidays, or adverse weather conditions. In such scenarios, Better Networking Hub will make every effort to inform members of any changes as promptly as possible.

Switch to Online Meetings:
If a face-to-face meeting is cancelled, Better Networking Hub will, wherever feasible and as a last resort, endeavour to provide an online alternative to ensure the continuity of networking opportunities. This switch to an online meeting will be considered a fulfilment of the scheduled face-to-face meeting, rather than a cancellation. Better Networking Hub commits to communicating any changes to meeting formats in a timely and clear manner, utilising the most effective channels of communication available.

No Refund Policy:
Members should be aware that in the event of a switch from a face-to-face to an online meeting, no refunds will be issued for the meeting fees already paid. The decision to switch to an online meeting format is taken with the intent to preserve the value and integrity of the networking opportunity and is considered as an equivalent offering.

Cancellation or Postponement of Online Meetings

Circumstances for Cancellation or Postponement:
Occasionally, online meetings organised by Better Networking Hub may be subject to cancellation or postponement, primarily due to technical issues or other unforeseen disruptions that hinder the ability to conduct the meeting effectively. Better Networking Hub endeavours to minimise such occurrences but acknowledges that they may occasionally happen despite best efforts.

Alternative Arrangements:
In the event of a cancellation or postponement, Better Networking Hub will strive to provide an alternative date and time for the meeting to ensure that members have the opportunity to participate in the full networking experience. Members will be informed of the new schedule for the postponed meeting as soon as it is confirmed.

No Refund Policy
It is important for members to understand that, in such situations, refunds for meeting fees will not be issued. The rescheduling of the meeting to an alternative date or time is considered as fulfilling our commitment to providing the networking service. This policy is based on the understanding that a postponed meeting, although inconvenient, does not diminish the overall value and benefit provided to members through our networking opportunities.

Communication to Members:
Members will be promptly notified of any changes to scheduled online meetings via their registered contact details or through the designated communication channels of Better Networking Hub. Better Networking Hub commits to providing clear and timely information regarding the rescheduling of meetings or any alternative arrangements made.

Handling Complaints and Grievances:

Commitment to Resolution:
Better Networking Hub is committed to maintaining a positive and productive environment for all members. We recognise that from time to time, disputes or grievances may arise, and we are dedicated to resolving these issues fairly and efficiently.

Initial Reporting of Complaints:
Members who have a complaint or grievance are encouraged to initially address the issue directly with the involved party, if appropriate and comfortable to do so. This direct approach often leads to a swift and amicable resolution.

Complaints Procedure:
If a member has a complaint, we urge them to follow our formal complaints procedure to ensure that their concerns are addressed appropriately and effectively.
Complaints should be submitted in writing to your main point of contact, usually this would be directly with Better Networking or a Franchisee, detailing the nature of the complaint, any relevant events or interactions, and the desired outcome or resolution.
Upon receipt of a complaint, Better Networking Hub will:
• Acknowledge the complaint promptly, typically within 5 working days.
• Conduct a fair and impartial investigation into the circumstances surrounding the complaint.
• Keep the complainant informed about the progress of the complaint resolution process.
• Strive to resolve the complaint to the satisfaction of all parties involved within a reasonable timeframe.

Investigation and Resolution Process:
Better Networking Hub will investigate the complaint in a fair and impartial manner, ensuring confidentiality is maintained throughout the process. All parties involved in the complaint will have an opportunity to present their perspective. Following the investigation, Better Networking Hub will propose a resolution. This may involve mediation between the parties, specific actions to rectify the issue, including but not limited to transferring membership(s) to alternate Hubs, or other appropriate measures.

Escalation of Complaints:
If the complainant is not satisfied with the resolution provided, they have the option to escalate the complaint to a higher authority within Better Networking Hub, details of which will be provided in the initial complaint response. We are dedicated to resolving disputes amicably and professionally, adhering to the highest standards of business conduct.

Records and Documentation:
All complaints and their resolutions will be documented and stored securely, respecting the privacy and confidentiality of all parties involved.

Providing Feedback:
Members are encouraged to provide feedback on any aspect of their experience with Better Networking Hub. This can include suggestions, observations, or compliments about our services, meetings, or any other related matters. Feedback can be submitted via email, online, and via surveys communicated to members.
Better Networking Hub values the feedback of all members as it plays a crucial role in our continuous improvement. We are committed to providing a professional and effective networking environment, and your feedback helps us achieve this goal.

Membership Renewal Criteria:

Introduction to Renewal Process:
At Better Networking Hub, we value the active participation and commitment of our members. As such, the renewal of membership is contingent upon meeting certain criteria that reflect a member’s contribution and engagement within their Hub.

Attendance Requirement:
A key criterion for membership renewal is maintaining a minimum attendance level. We expect members to achieve at least an 85% attendance rate at scheduled meetings. However, we recognise that circumstances can vary, and thus, this requirement is applied at the discretion of Better Networking Hub. Exceptions may be considered in cases of extenuating circumstances, with proper communication from the member.

Commitment to the Hub Meetings And Members:
Beyond attendance, members are assessed on their overall commitment to their Hub.
This includes:
• Participation in and contribution to networking meetings and events.
• Engagement and collaboration with other members.
• Contribution to the positive atmosphere and collaborative spirit of the Hub meetings.
• Adherence to the ethos and standards set by Better Networking Hub.

Other Considerations:
In addition to attendance and general commitment, other factors may be considered in the renewal process, such as:
• Quality and frequency of referrals provided.
• Participation in additional roles or responsibilities within the Hub meetings.
• Feedback from other members and Hub representatives.
• Any notable achievements or contributions to the Hub’s success.

Renewal Process:
Members will be notified of their renewal status and any related procedures in advance of their membership expiry. In cases where a member does not meet the renewal criteria, Better Networking Hub will provide clear reasons and, where applicable, suggestions for improvement.

Appeal Process:
Members who wish to appeal a non-renewal decision may do so by contacting the Better Networking Hub management team. Appeals will be considered on a case-by-case basis, taking into account the members history and circumstances.

Cancellation and Termination of Membership

Membership Application And Renewal:
Once a membership or renewal application has been submitted to Better Networking Hub, we reserve the right to accept or reject the application at our discretion. The reasons for any rejection will be communicated to the applicant.

Cancellation by Member:
Members who choose to cancel their membership must understand that:
The cancellation of membership does not entitle the member to a refund of the membership fees already paid, or limit the amount due to be paid, if currently paying on a payment plan.
Upon cancellation, the obligation to pay any future four-weekly meeting fees will cease, provided that notification to cancel has been received at least 7 days prior to a scheduled direct debit payment. In instances where 7 days’ notice has not been received an additional direct debit will be charged and will be non-refundable.

Refund Policy for Meeting Fees:
In the event of cancellation by the member, meeting fees that have been paid in advance on an annual basis will be subject to a pro-rata refund for the remaining period of the membership. This will be calculated from seven days after the notice to cancel has been received by Better Networking Hub. This does not apply to membership fees, which are non-refundable.

Termination by Better Networking Hub:
Better Networking Hub reserves the right to suspend or terminate a membership under certain conditions, as outlined in these terms and conditions.
Such conditions may include, but are not limited to, breach of member obligations, non-payment of fees, or conduct that is deemed detrimental to the values and operation of the Hub meetings and membership.
In cases where membership is terminated by Better Networking Hub, no refund will be issued for the membership fees.
For meeting fees paid in advance, the refund policy will follow the same pro-rata basis as mentioned in the cancellation by member section.

Notice and Communication:
All notifications regarding cancellation or termination by either party will be communicated in writing, by email, and members are encouraged to do the same if they wish to cancel their membership.

Closure of A Better Networking Hub:

Right to Close Hubs:
Better Networking Hub reserves the right to close any Hub that is not meeting performance standards or operational objectives. Decisions regarding this are always made with careful consideration and as a last resort when it is deemed necessary for the overall health and sustainability of the network.

Member Transfer Upon Hub Closure:
In the event of a Hub closure, members of the affected Hub will be offered a free of charge transfer to another face-to-face or online Hub within the Better Networking Hub network, subject to availability. Members are encouraged to accept this transfer as a means to continue benefiting from the networking opportunities provided by Better Networking Hub.

Refund Policy for Lack of Availability:
Should there be no available space in an alternative Hub at the time of closure, members may be eligible for a partial annual membership refund. This refund will be calculated on a pro-rata basis, reflecting the unused portion of their membership term. The specific details and amount of any such refund will be communicated to the affected members at the time of the Hub closure.

Notification of Hub Closure:
Members will be notified in advance of any impending Hub closure, including information about transfer options or the refund process, as applicable.

Member Transfer Policy

Transfer Options:
Better Networking Hub offers members the option to transfer from one Hub to another, subject to availability. This flexibility aims to accommodate the changing needs and preferences of our members.
Discretionary Approval:
All requests for transfers between Hubs are subject to the sole discretion of Better Networking Hub. Approval will depend on various factors, including capacity and the member’s standing within their current Hub.

Transfer Fee:
A standard fee of £50 will be charged for each transfer request. This fee is necessary to cover administrative costs associated with processing the transfer.
Exceptions to this fee may occur in specific circumstances, such as:
• A Hub closure, where members are being relocated.
• As a resolution in certain complaint procedures.

Request Process:
Members wishing to transfer to another Hub should submit their request in writing to Better Networking Hub. The request should include the reasons for the transfer and the preferred new Hub.

Transfer Approval and Process:
Upon approval of a transfer request, members will be informed of the details and the timeline for the transition to the new Hub. Members are responsible for the timely payment of the transfer fee, except in cases where the fee is waived. Transfers will not be made until payment has been received. Overdue payments may result in delays in the transfer or missed opportunities to transfer if the overdue payment results in availability being compromised.

Amendment of Terms:
Better Networking Hub reserves the right to amend, modify, or update these terms and conditions, as necessary. Such amendments may reflect changes in law, best practices, or enhancements to the services and operations of Better Networking Hub.

Notification of Amendments:
In the event of significant changes to the terms and conditions, members will be notified through by email or a member’s portal. The notice will include details of the changes and the effective date of the amended terms.

Member’s Acceptance:
The continued use of Better Networking Hub’s services following the notification of changes to the terms and conditions will be deemed as acceptance of the amended terms.
If a member does not agree to the new terms, they have the right to discontinue their use of the services and, where applicable, terminate their membership in accordance with the termination procedures outlined in these terms.

Opportunity to Review:
Members are encouraged to review any revised terms and conditions thoroughly to understand the implications of any changes.
Better Networking Hub will ensure that sufficient time is given for members to review and understand the amendments before they become effective.

Query and Clarification:
Should members have any questions or require clarification regarding the amended terms, they are advised to contact Better Networking Hub directly. Contact details for enquiries will be provided in the amendment notification.

Disaster Recovery Plan

Purpose and Scope:
The Disaster Recovery Plan is established to ensure the resilience and continuity of Better Networking Hub’s operations in the face of unforeseen disruptive events. These may include natural disasters, technological failures, data breaches, or other major incidents.

Immediate Response:
In the event of a disaster, our first priority is the safety and well-being of our members, employees, representatives, and franchisees. Immediate steps will be taken to assess the situation and respond appropriately to ensure safety.
Members will be promptly informed about the nature of the disaster and any immediate implications for Hub activities.

Continuity of Operations:
Better Networking Hub has contingency plans in place to maintain or quickly resume critical operations.
This may include:
• Shifting face-to-face meetings to online platforms.
• Utilising backup systems for data and network recovery.
• Engaging alternative resources or venues as needed.

Data Protection and Security:
In the case of technological failures or data breaches, Better Networking Hub will enact measures to secure data and mitigate any potential data loss, in compliance with data protection laws. Affected members will be informed about the nature of the breach and the steps taken to secure their data.

Recovery and Restoration:
Following a disruptive event, Better Networking Hub will focus on the recovery and restoration of full services. Members will be kept informed about the progress and timelines for resuming normal operations. Efforts will be made to minimise the impact on members and to provide support and assistance during the recovery phase.

Feedback and Learning:
Post-recovery, Better Networking Hub will review and learn from the incident to enhance future disaster preparedness and response capabilities. Member feedback during this phase would be welcomed and valued.

Force Majeure
The term ‘Force Majeure’ refers to any extraordinary event or circumstance beyond the control of either Better Networking Hub or its members, including but not limited to natural disasters (such as earthquakes, floods, and hurricanes, war, terrorism, civil unrest, government actions, pandemics, and other acts of God).

Relief from Obligations:
In the event of a Force Majeure, both Better Networking Hub and its members may be released from fulfilling their contractual obligations if the performance of these obligations becomes impossible or unreasonably burdensome due to such unforeseen events. This clause does not excuse negligence or wilful misconduct and does not cover any ordinary, foreseeable, or avoidable events.

Notification and Mitigation:
Should a Force Majeure event occur, the affected party is required to promptly notify the other party, explaining the nature of the event and how it impedes their ability to fulfil their obligations. Both parties agree to take all reasonable steps to mitigate the effects of the Force Majeure event and to resume the performance of their obligations as soon as possible.

Duration and Review:
The relief from obligations under this clause is applicable only for the duration of the Force Majeure event. Once the event has subsided or been resolved, the normal terms and conditions shall resume. If the Force Majeure event continues for an extended period, both parties agree to engage in good faith negotiations to review the impact on their contractual relationship and to discuss potential solutions.

Acceptance of Terms:
Note that by joining a Hub operated by Better Networking Hub, its representatives, or Franchisees, members agree to be bound by these terms and conditions.
